Moving to Acumatica

Outgrown your current system? Bring the whole trucking company to Acumatica.

Whatever you run today, an older accounting package, QuickBooks, Dynamics GP, standalone trucking, dispatch or shop software, or spreadsheets and paper that fill the gaps, we move you onto Acumatica Cloud ERP with AcuTransportation, so billing, dispatch, maintenance, fuel and the general ledger live in one system. We have migrated accounting and trucking data for decades, and we do the move ourselves.

Why move

Your whole trucking company in one system

Acumatica is a true cloud ERP: financials, inventory, purchasing, payroll and projects in one place. With AcuTransportation built natively on it, dispatch, billing, the shop and fuel live there too. One login, one database, one version of the truth.

AcuTransportation inside Acumatica: the Fleet Maintenance dashboard, live from the same data as the general ledger

One system, one set of numbers

Dispatch, billing, maintenance, fuel and accounting share one database. A load billed in AcuTransportation posts to Acumatica receivables and the general ledger; parts issued to a work order are real inventory; an outside repair becomes a vendor bill. Nothing is re-keyed and nothing waits for an overnight interface.

Real-time answers

Cost per truck and per mile, open work orders, downtime and margins come from the same live data your accountants close the books with. Dashboards, inquiries and reports are built in, and anyone can filter, export or save their own view.

Everyone in the system

The Acumatica editions we sell are licensed by resources, with unlimited users. Dispatchers, mechanics, the parts room, the fuel desk and the back office can all work in the system without a per-seat bill.

Anywhere, on any device

Acumatica runs in a web browser, with a mobile app for work away from the desk. Hosted in the cloud by Acumatica or installed on your own servers, at the same price; the choice is yours.

Grows with the business

Add modules as you need them without a second implementation: payroll, projects, distribution, and Acumatica's Construction and Manufacturing editions for companies that build or haul for their own jobs.

Built to connect

Acumatica has open APIs, so the systems around you plug in rather than sit beside it: fleet tracking such as Samsara, PC*MILER mileage and routing, banks, payroll services and the reports your customers need.

And if you are not ready?

That is fine. Waiting is a legitimate choice as long as it is a choice. Most systems have a date on them somewhere: an end of support, a server that cannot be replaced, a person who is the only one who knows it. What we ask is that you know your date, rather than discover it.

What data moves

What comes across, and how far back

The usual shape of a move to Acumatica. Your scope is settled in the assessment, and it depends on what your current systems can give us.

Area What moves Typical depth
General ledger Chart of accounts (restructured if you want it to be), opening balances, and period balances or detail for history We recommend seven years of history
Customers and receivables Customers, addresses, contacts, terms, salespeople; open invoices and credits; paid history Open items always; history by agreement
Vendors and payables Vendors, 1099 settings, terms; open bills and credits; paid history Open items always; history by agreement
Inventory and purchasing Items, warehouses, costs, on-hand quantities; open purchase orders Quantities and costs at cut-over
Payroll Employees, pay codes, deductions and benefits, tax set-up; year-to-date figures for a mid-year start. Into Acumatica's own payroll, or a more specialised payroll system we integrate with when your company needs it. Current year to date
Trucking data Trucks, drivers, carriers, customers, stops and rates from your trucking or dispatch system, or from the spreadsheets that hold them; open loads Master data and open items; history by agreement
Fixed assets, bank rec, projects Assets and books, bank accounts and outstanding items, open projects By module in use
Saved reports and lists Rebuilt as Acumatica generic inquiries and reports; we map the ones your people rely on Agreed list from the assessment
On Dynamics GP?

Dynamics GP has an end date. We have supported it since the late 1990s.

We sold, installed and supported Great Plains and then Microsoft Dynamics GP for more than two decades, so we know where every number lives in a GP company and where it belongs in Acumatica. Microsoft has stopped selling GP and has published the dates when it stops maintaining it. Nothing stops working on those dates; what stops is Microsoft fixing it.

Existing Dynamics GP customers remain fully supported by us, today and up to those dates. When you are ready to move, the same people carry your data across.

Microsoft's published dates

  • April 1, 2025: no new Dynamics GP licences sold
  • September 30, 2029: product enhancements, regulatory and tax updates and hotfixes end
  • April 30, 2031: security updates end

FAQ

Questions trucking companies ask us about moving

Do we have to move everything at once?

The accounting core moves as one cut-over; running two general ledgers is worse than either. Around it there is flexibility. Many companies go live on the financials and AcuTransportation together, and bring on Maintenance & Repair, Fuel or extra reports in the months after. The assessment settles the order.

We are on QuickBooks. Is Acumatica too big a step?

It is a bigger system, and that is usually the point: the dispatch, maintenance and fuel work that does not fit in QuickBooks is what the move is for. The accounting concepts carry over, and the assessment tells you plainly what you would gain and what you would have to change. If QuickBooks is still the right size for you, we will say so.

Our trucking data lives in a separate dispatch program and in spreadsheets. Can that move?

Usually, yes. Trucks, drivers, carriers, customers, stops and rates are master data, and we load them from whatever can export them: a database, a report, a spreadsheet. Open loads come across at cut-over. How much history can move depends on what the old system can give us, which is one of the first things the assessment checks.

How long does a move take?

Acumatica and we aim for three to six months once your data and your people are ready to go. Implementations stay short because we have run ERP projects for decades and because so much of the trucking work is already built inside Acumatica. You get a plan with dates at the end of the assessment.

We also do construction or manufacturing work. Can Acumatica handle that too?

Yes. Acumatica has a Construction Edition (job costing, project management, change orders, equipment management, field time and expenses) and a Manufacturing Edition (bills of material, production management, MRP, scheduling, estimates). Many trucking companies also haul for their own construction jobs or run a fabrication shop, and those editions put that work in the same system as AcuTransportation and the general ledger. We scope it in the same assessment.

How much history can we bring?

We recommend seven years of general ledger history, so year-over-year reporting and look-backs work from day one in Acumatica. Open items always move. Older history can stay in the old system, kept read-only for lookups.

What happens to our customisations and reports?

We list them in the assessment. Some are no longer needed because Acumatica does the thing out of the box; some become Acumatica generic inquiries or reports, which are quick to build; some are genuinely custom and we rebuild them in Acumatica's customisation framework, the same one AcuTransportation is built with.

Will our people have to relearn everything?

The concepts carry over: customers, vendors, journals, batches, periods, loads, work orders. The screens are different, and modern. Training is by role on your own data, with a rehearsal week before go-live, so the first real day is not the first time anyone has entered a load or closed a period.

Where does Acumatica run?

Your choice. Acumatica can host it for you in the cloud, so there is no server in the office to patch, or it can be installed on your own servers. The price is the same either way; it is up to you.

We are on Dynamics GP. Does it stop working in 2029 or 2031?

No. Microsoft's dates are about what Microsoft maintains. Until September 30, 2029 you still receive enhancements, regulatory and tax updates and hotfixes; until April 30, 2031 you still receive security updates. After that, GP keeps running but nothing is fixed, and the Windows and SQL Server versions it depends on age out alongside it.

What does it cost?

Two parts: the Acumatica licence, which depends on the edition and resources you need, not on how many people use it, and our services, which depend on modules, the number of source systems, history and customisations. We quote both after the assessment, in writing, with no surprises at go-live.
